How to build an event page

As an example, let’s take a look at how to build an event page for the imaginary Aalto Festival.

1. Start by logging in to the system by clicking the login button in the top navigation.
2. Select Content => Add content => Event
3. Select the visibility for your event announcement. All events published in the Student's Guide are public, so always choose "Public for everyone".

Then, set up the basic data.

1. Select the primary language for your event announcement. Remember that everything in the Student Guide should generally be in three languages. Therefore, remember to add translations for the announcement after the primary (original) language version.
2. Give the event a short and an attractive title, such as “Aalto Festival 2019”.
3. Summary: Briefly and persuasively describe the event's best selling points. A good rule of thumb for a summary is "What, (when), where, and for whom." For example, "Zoom event for students showcasing Aalto University's expertise." The summary does not appear on your page but is visible in the Student Guide event streams.
4. Lead text describes the event and supports its title, explaining, for example, the event's objective and interesting speakers. A couple of sentences are sufficient. The lead text should pique the reader's interest to learn more. The ingress for this event could be something like: "Come and discover what we have achieved! Aalto Festival showcases the results and discoveries of graduates, teachers, and researchers at Aalto University."
5. Add a main image to the page. You can use the image designated for events in the Student's Guide, which can be found when adding an image under the title "Opiskelijan opas, tapahtuma, event, Student_Guide_Use_Only". The image will be visible in lift-ups and event streams and on the event page if desired (generally, we recommend hiding the image). You can also use another image of your choice, but please remember copyright restrictions and use only Aalto's own images. Do not use an image that contains text.
   1. See image below for the different main image display options in events.
   2. File size of 1 MB is sufficient, as the image quality (in pixels) is what counts. Always use horizontal images as the main image.
   3. Add a caption to the main image if needed. Describe the image and give credits to the photographer (Image by Aalto University / photographer's name).

Add the metadata

Metadata helps you to get the best possible reach to your event.

Internal/external

• Indicates whether the event is internal or external

Category:

• Select "Students" unless you want the news to appear in other news streams outside of the Student's Guide.

Primary tags:

• Do not select any tags here.

Secondary tags:

• Select the category that indicates which student group the news is intended for. You can use multiple keywords. If you select "all students," you do not need to add any other keywords.
  • All students (appears in the news feeds for all programmes; note: including doctoral programmes; do not use unless it concerns all students)
  • All Bachelor's programmes (appears in the news feeds for all bachelor's programmes)
  • All Master's Programmes (appears in the news feeds for all master's programs)
  • All Doctoral Programmes (appears in the news feeds for all doctoral programs)
  • All English Bachelor's Programmes (appears in the news feeds for all English bachelor's programs)
  • International Business, Mikkeli (appears only in the news feed for the Mikkeli bachelor’s program)
  • [School], Bachelor's Programmes (e.g., ARTS, Bachelor’s Programme)
  • [School], Master's Programmes
  • [School], Doctoral Programmes

Schools: ARTS, BIZ, CHEM, ELEC, ENG, SCI

Event information

1. Define the dates for the event and registration. For some browsers the time for the event might be AM/PM. In that case you need to put those in, i.e. the time might be e.g. 09:00:00:AM-05:00:00:PM. In case the event does not have registration, you can leave it empty.
2. If the event has a specific location, such as Dipoli, select it to the location field.
   1. If the location is not listed in the location field, you can add the map using the instructions Location page: how to create it?
   2. If the event is online then choose the option 'online' and add the link to the event.
   3. If the event is hybrid then choose the option 'hybrid' and add the physical location and the link.
3. Set up a street address using the same format as shown in the example below the field.
4. In the “Additional address details”, you can add other information, for example if the event is in a specific room or section of the building.
5. This event is free, so leave the “Entrance fee” field empty.
6. If the registration for the event is on an internal or external platform, you can add a link in the “Registration link” field.
7. Set the event language.

After adding the basic information, you can add components, such as text paragraphs or images.

Remember to select the visibility of the event in the Student Guide

Tick the "Student Guide" option at the end of the page so that the event appears in the Student Guide. 

Creating an event both for the Student Guide and for aalto.fi

If you are creating a news article for aalto.fi and want it to also appear in the Student Guide (or vice versa), tick the 'Student Guide public' option at the bottom of the page. This option will automatically tick the 'Student Guide' option above it as well. Please note that all events  in the Student Guide must be public and available in three languages. 

Publishing the event

Finally, click on save and see what your page looks like. You can edit the page by clicking on Edit. By selecting ‘Translate’ => ‘Add’, you can create other language versions.

To publish your event, click "Publish" on the far right-hand side or on the top banner.

Remember to add translations to your news and publish them. All events published in the Student Guide should be in three languages. You can find more detailed instructions for creating translations at the link below.

Social media marketing

Additionally, to activate discussions on social media, assign a hashtag for the event and promote it to the participants.
