About

The Salesforce native Event Management Tool has recently been taken into use at Aalto University. The tool allows users to create event webpages, collect registrations, and send marketing and transactional emails. It offers multilingual support and integration into Aalto's event calendar on aalto.fi and our main CRM system.

Create event webpages

The users can select between four different layouts and several ways to add content. This allows event organisers to create simple or complex event webpages, based on the nature of their event. 

The Simple UI can be used to make a simple one-page registration webpage, while options such as Full-Width, Dynamic, and Tabbed UI enables the users to create complex setups with information about sessions/programmes, speakers, sponsors, etc.

Collect registrations

The event tool allows event organisers to collect registrations for free events. In May 2024 support for paid events will be added. The users can add several different ticket types, limit the availability of added tickets, create automated waitlists, and gather information about attendees with different forms.

Collecting registrations is not mandatory, therefore the event tool can be used to create and host informative web pages. By using different settings and CSS options, it is possible to change the visibility of different components on the page.

Send marketing and transactional emails

The tool has a built-in email-sending service that enables the event organisers to send out marketing and transaction emails. Email such as "Save the Date" and "Invitations" can be used for pre-event marketing, while transactional emails (confirmation, welcome email, survey) can be sent to the attendees after they register for your event. 

Multilingual support

Event pages can be created/translated into English, Finnish, and Swedish.

Integrations

The Event Management Tool is integrated with Aalto.fi event calendar and lift-ups of events are possible on any Drupal page. The information about events, event registrations, and contacts is imported to Aalto's main CRM system (Dynamics 365).

Access rights

The licenses are available for all Aalto staff members who are organising events, conferences, seminars, talks, get-togethers, etc.
