HR's and LES' instructions for hourly-based teachers.
Employment contracts (one contract per course) are prepared in chronological order in Workday system from which the date is automatically transferred to the payroll system.
When the contract is approved in the system it will be sent to you through Aalto electronic signing service. In the system you can accept and sign the contract. You can read more about Aalto sign service here.
Please note that Aalto IT IDs will be activated only after the contract is signed.
Personal data is required for processing the contract, salary payments and processing Aalto ID and access rights. New employees will be asked to fill in a personal data in Workday system.
Employer receives tax cards for employees who are resident taxpayers directly from the Tax Administration. Non-resident taxpayers must submit the tax card themselves to the payroll team, payroll@aalto.fi. If you are working in Finland for the first time, apply for a tax card from the tax office. If you have not applied for your own tax card, 60% tax will be withheld from the compensation.
An access token and a visitor identity card can be collected for example from Väre lobby services after your employment contract has been processed and you have activated your Aalto ID. The access rights can however be activated earliest from the beginning of your employment. When collecting the access token from the lobby services, please be prepared to prove your identity. Please keep the visitor identity card at display when moving around the campus. Information for registering the access token and requesting extended access rights can be found here. At the end of your employment please return the access token to the same lobby service you picked it from.
Paydays in Aalto University are on the 15th and the last day of every month. For hourly-paid teachers the payday is usually the last day of each month, but the contract approval day may affect the payday of the first salary. The salary for hourly-paid teachers is divided into equal installments which are paid monthly for the duration of the employment contract.
Payslips will be sent electronically for everyone with a Finnish bank account and by post for everyone with an international bank account. Please report the days of illness to both the teacher in charge and your unit HR. A medical certificate is required for sick leave exceeding five days.
