REDCap survey tool for research with sensitive personal data

REDCap is a survey tool designed for research projects handling sensitive personal data. Installed on servers maintained by Aalto IT, the service allows researchers to handle health data and other special categories of personal data safely. Service will be available from April 2026.

Features

  • Advanced instrument design features - Auto-validation, calculated fields, file uploading, branching/skip logic, and survey stop actions.
  • Diverse and flexible survey distribution options - Use a list of email addresses or phone numbers for your survey respondents and automatically contact them with personalized messages, and track who has responded. Or create a simple link for an anonymous survey for mass email mailings, to post on a website, or print on a flyer.
  • Data quality - Use field validation, branching/skip logic, and Missing Data Codes to improve and protect data quality during data entry. Open data queries to automatically identify and resolve discrepancies and other issues real-time.
  • Export data to common analysis packages - Export your data as a PDF or as CSV data for easy analysis in SAS, Stata, R, SPSS, or Microsoft Excel. Continue processing sensitive data on Aalto workstations and save it in secwork.
  • Suitable for sensitive personal data - data is stored on servers maintained by Aalto University IT and access is restricted only to the research group. A directory is created for the research project on the secure Secwork network drive for further processing.
  • Community-produced survey templates - REDCap is widely used in universities worldwide and allows utilising templates and frameworks created by other users for different survey and clinical studies.
  • Used with Aalto credentials, visitor credentials or HAKA credentials. - the system is available to Aalto researchers and students whose research includes sensitive personal data. Research project partners can use the system only for data entry with Aalto visitor account or HAKA account.
  • Free for Aalto research projects - Aalto IT is responsible for service maintenance and costs.

Limitations

The primary recommended tool for research projects is Webropol, which can be used for studies involving common personal data. REDCap is best suited for projects dealing with sensitive personal data or requiring special functions, e.g. medical or clinical studies.

Survey creation is restricted to Aalto University personnel. Students require a supervising member of the university personnel. External collaborators’ permissions are limited to data collection in accordance with the license terms.

The service license terms allow only non-commercial use for Aalto University's internal research, education or operations. License includes research funded by commercial (for profit) organizations, but shall not include using REDCap as the basis for providing a contract or other services to any entity.

Researchers using the REDCap system are asked to cite the publications introducing the REDCap.
