Basic data storage instructions

Aalto University provides a wide range of storage services to support various technical needs. Understanding these basic concepts will help you manage your data effectively and securely.

What is data?

  • Data means all your digital files and information, such as numbers, text, images, and audio.
  • Data storage refers to the locations and methods used to save data so it can be easily retrieved, used, and protected later.
     

Do you need to keep data after leaving Aalto? 

In short: Do not take data with you. When you leave Aalto University, the files and emails stored in your personal cloud storage spaces will be deleted after your departure. Make sure all work and research data remains in designated group storage locations.

  • Ownership and responsibilities: Work and research materials usually belong to Aalto University or the research group/project. Contracts (employment, project agreements), data management plan (DMP) and Records Management Plan (TOS) define retention.
  • Transfer data: Move data from personal folders (OneDrive, Home etc.) to group storages (Teams/SharePoint, Work/Teamwork/SecWork) and ensure ownership and access rights are correct.
  • Remove personal copies: Delete your own copies and downloaded versions from personal devices and private cloud services.
  • Personal data and confidential data: Follow GDPR and Aalto’s information security guidelines; do not transfer or share without permission.
  • Documentation: Update the README/DMP, record the data location, responsibilities, and retention periods.
  • Ask for permission: If you need continued access (e.g., for publication), agree in writing with the project lead or data owner.
