Exchange application instructions

You can apply to Aalto partner schools during the Aalto application rounds. The main application round for all Aalto schools for exchange in the academic year 2023-2024 is 10 - 31 January 2023.

• excluding BIZ Mikkeli campus (but including the Mikkeli students applying for master’s exchange) and
• excluding Aalto schools of technology's exchange destinations in Japan.

In January's application round, it is possible to apply for the next autumn or spring term.

The online exchange application is open only during the application rounds. Late or incomplete applications will not be processed.

Below you will find the exact application timetables and other possible school specific application rounds.

1. School of Arts, Design and Architecture

   The application round for exchange studies abroad in the ARTS partner universities is held twice a year.

   All applicants will be informed of the selections by email approximately in 2 - 3 weeks after the application deadline. Please note that we do not comment the selections before the official decisions have been made.

2. School of Business

Host universities have different kinds of language requirements. The language in which the studies are completed depends on the host university's study offer. Although courses might be offered in English, the host university might acquire for example basic skills in the host country's language.

To check if you fullfill the host university's application criteria, check from your own Aalto school's Destination Database and from the instructions available on the host universitiy's website the following information before submitting your Aalto application:

1. The language requirements of the universities which you have chosen, and
2. if the host university requires a language certificate of the language,
3. if a certificate is required, what kind of certificate.

You can be selected only to a destination which langauge requirements you fullfill.

In unclear cases, contact the destination's Aalto Coordinator, to check if your language skills fullfill the application criteria. In certain cases, your Exchange Coordinator can ask you to provide a language certificate from the Aalto Language Center.

1. Business School students: If you are studying in a prorgramme which is official taught in English, you do not have to attach and English language certificate to the application. Submit the language certificate only if needed, according to your host institution's requirements. If you are studying in the host university mainly in a language other than English, a certificate of the language in question has to be delivered by the Aalto application deadline with your online application (excluding TOEFL/IELTS test results, see below).
2. ARTS and technical school students: You must prove your language skills according to the host university's requirements and deliver possible required language certificates with your online application by the Aalto deadline (excluding TOEFL/IELTS test results, see below).  

English language certificates

If you are studying at Aalto in a programme which teaching language is officially English OR

If you have completed an English course at Aalto Language Center or other university AND the course is included in your Aalto transcript.

• You do not have to submit a certificate of your English language skills in the Aalto application round, unless
  • you apply to a destination, which accepts only an official language test certificate (e.g. TOEFL, IELTS)
  • if the host university accept other certificate such as high school diploma.
  • for more information, see below
• It is sufficient that you mention in the Aalto online application that you are studying in a degree programme which teaching language is officially English OR that you have completed an English language course.
• You can receive the English language certificate for the host institution's application round from your Aalto Exchange Coordinator.
• All Aalto programmes which are taught officially in English and English language courses fullfill at least the B2 level (CEFR) requirement. In other words, in these cases you are eligible to apply to destinations which require B2 level English language certificate.

If the host university requires level C1 (CEFR) in English language

• complete C level English course at Aalto.
• You can apply to a destination which requires a certificate of  C1 level, if you have completed other than C level course in English at Aalto with grade 4 or 5. 

If you have not completed an English course at Aalto

• Complete an English course, so that the course will be included in your transcript by the end of the Aalto application deadline.
• If you do not complete an English course at Aalto, you have to ask from Aalto Language Center and include it in your Aalto online application by the end of the application deadline. (Note: for more information see Language certificates provided by the Aalto Language Center section below)
• Note that if it is not possible to get the level of your language skills on your language certificate from the Aalto Language center, this can restrict the number of destinations available for you.

If the host institution requires a certificate of official English language test (e.g. TOEFL, IELTS)

• You must complete the test with an outside provider on your own expense.
• You must complete the language test so that you can submit the language certificate with your Aalto online application by the end of the Aalto application round.

• The language certificates' levels required by the host institutions are available in your school's Destination Database and on the host institution's website.
• Ask the test provider to send the application results both to Aalto and the host university (information is enquired by the test provider when you register for the TOEFL/IELTS test).
• Take into consideration the duration of the test results (usually 2 years).
• Exception 1. If you apply for the following spring term in January's application round, you cancontact the destination's Coordinator at Aalto and agree that you can deliver the language certificate by the deadline given by the Exchange Coordinator. However, priority in selections is given to those applicants who have delivered the language certificate with their Aalto online application.
• Exception 2:Students of Aalto technical schools should check instructions for providing the Japanese language test results from the technical schools' Destination Database.

If the destination university has it's own specific ways to prove the language skills (e.g. some Australian and North American destinations), such a a certain grade in your high school diploma.

• Submit a copy of the required certificate with your Aalto online application by the end of the Aalto application deadline.

Other languages than English

If you have completed a course in the required language at Aalto Language Center, or another university, AND the level of the course fullfills the destination's CEFR requirement, AND the grade for the course is included in your Aalto transcript.

• You do not have to submit a certificate of this language in the Aalto application round, unless
  • you apply to a destination which accepts only a certificate of an official language test (for more information, see below).
  • you apply to Business School's destinations, where the teaching language is another than English.
    • In this case you have to ask for the certificate from the language teacher of the language and submit it with your Aalto online application.
• It is sufficient, that you mention in your Aalto online application that you have completed the course at Aalto. In this case, you can get the language certificate for the host institution's application phase, from your Exchange Coordinator at Aalto (excluding School of Business).
• You can apply to destinations, to which the CEFR level of the course which you have completed is sufficient (level is available in the course description).

Language certificates provided by the Aalto Language Center

The language certificiate is written on the basis of approx. 10 - 20 minute oral test. Book the test appointment well in advance. For further instructions, visit the Language Center's website. Note that in this case, the CEFR level cannot normally be included in the certificate. Many universities have a certain language level requirement on CEFR. If a certain level is required by the host university, it has to be included in the certificate. If it is not possible to get the level of your language skills on your language certificate from the Aalto Language center, this can restrict the number of destinations available for you.

Options to receive a CERF assessment (if you have not completed a language course)

If you need a certificate of a certain CEFR level, but you have not completed a language course at Aalto, contact the Aalto Language Center to find out if it is possible to determine your CEFR level on the basis of the following certificates or grades:

• you have an earlier degree, which you have completed in the language which is required by the host university (also secondary level education).
• you have an International Baccalaurate Diploma.

• you have other official language certificate.
• you have completed a language course which is not included in your Aalto transcript.
• you have completed English language successfully in your high school diploma and / or you have completed Advanced English. On the basis of certain grades, the language teacher maybe able to provide you a language certificate which includes the CEFR level.

Note that in these cases, your eligibility to the destination which you have chosen depends on if you can provide a language certificate with a CEFR level.

Start making your study plan, i.e. planning your course selections well in advance, so that you have time to consider your destination carefully. Find out which universities offer the most interesting and suitable courses for you.

The exchange study plan is made for 

• undergraduate level exchange: 30 ECTS per semester ( 60 ECTS for entire academic year)
• master level exchange: at least 24 ECTS (48 ECTS for entire academic year)
• PhD level exchange: to be agreed with your Academic Advisor (ARTS)

In European destinations, the credits correspond to Aalto credits. Many universities located outside Europe in form their credits as local credits, not ECTS credits. The amount of studies in local credits varies. Check from the Destination Database for how many local credits your study plan has to be made.

Before you apply for exchange, discuss with your Study Advisor/Academic Advisor/Study Coordinator/Professor , what would be the best timing for your studies and waht studies you can complete during your exchange.

More information on destination specific course selection instructions, and links to our partner universities' course information, is available in your school's Destination Database. During the Aalto application round, the host institution's next academic year's course information is not normally available, so the study plans can always be made based on the available course information. You can use the course information from previous or current academic year, exchange reports, or contact the Exchange Coordinator of your own school or the Coordinator responsible for the destination at Aalto.

The credit transfer of your exchange studies is not voluntary. Credits completed abroad have to be included in your degree, since you have received the exchange placement on the basis of your study right at Aalto University (or the exchange has been considered as official student exchange), as well as student exchange scholaship, and possibly student aid. You must apply for credit transfer for the exchange studies in Sisu as soon as possible after your exchange has ended, and you have received the official transcript of records from your host institution.

Also note that FPA (KELA) takes into consideration only the credits included (transfered) in your Aalto transcriot of records, when checking the progress of your studies.

School of Business

Students of School of Business pariticpating in student exchange normally complete the International Minor as part of their degree. The extent of the International Minor in the undergraduate level degree is at least 30 credits and in the masterl level degree at least 24 credits. In master level destinations, where the academic year consits of trimesters it is not necessarily possible to complete enough credits for full International Minor. In these cases, you have to complete additional studies for the International Minor after your exchange.

Criteria for the exchange studies:

• University level courses, which do not contain thesis or intership.
• Studies in economics, business administration or related field OR
• From other fields of science if supporting business studies.
• Courses which content is new for your degree.
• Primarily studies from the correct level i.e. undergraduate level courses on UG level exchange and master level courses in MA level exchange. In exceptional cases it is possible to conplete courses from other level than your degree, if allowed by the host university.
• International Minor can also contain courses from the field of your own study program / specialization field, but the content must differ from the courses you complete for your study program / specialization field at Aalto
• Max. 8 ECTS local language/culture studies, min. 16 ECTS must be other than language/culture studies (NB: trimester universities!). Language or culture studies related to other than the host country are not accepted.

Transferring your exchange credits into your degree

If you are planning to apply for exchange, you must included the exchange in your personal study plan in Sisu ad plan the studies so that the completed studies can be transferred into your degree. Remember that the International Minor must be included in your personal study plan (eHOPS) already at the time of your BIZ exchange application round.

It is possible to transfer the credits of an official student exchange as follows:

1. By including them in your bachelor's degree as an International Minor (30 credits)
2. By including them in your master's degree as an International Minor  (24 credits)
3. In addition to International Minor, students have the possibility to substitute individual courses from the study program or to include an individual course to the degree (e.g. to elective studies). However, at least 18 ECTS should be left for the International Minor.

In order to add the International Minor into the student's degree, at least 18 credits of the exchange studies have to be included as part of the minor. From autumn 2018 onwards, the courses completed during the exchange have been transfered individually, i.e.the completed courses will appear in the Aalto transcript under the International Minor individually under the original name and credit number. Studies as graded as accepted/fail.

Studies completed abroad outside the official student exchange cannot be included in the International Minor.

IDBM-programme (exception):

Students of IDBM (BIZ) programme who have started their studies 1.8.2018 or after, cannot complete International Minor. The exchange studies are normally transferred into their degree as electives instead. If you apply for exchange, elective studies must be mainly reserved for exchange studies. During the exchange selections, students' personal study plans are checked and the elective studies have to be reserved for exchange.

School of Arts, Design and Architecture

Criteria for the exchange studies:

• Studies must be part of your degree studies and full-time. 
• Studies completed during the exchange must normally be chosen from your own degree level (undergraduate, master, PhD).
  • Excluding studies in which you have not completed basic studies yet.
  • Excluding destinations where only bachelor level studies are offered for master level students (determined in the ARTS destination database).
• Normally students can take courses related to their own major at ARTS. However, some universities allow students to take courses from different programme's, or they offer more general programmes for exchange students for example in Design.
• You can complete studies which are suitable for your personal study plan's major studies or elective studies.
• Completing your minor is possible depending on your exchange destination and your degree programme/major at ARTS.
• Completing your final thesis abroad is also possible in some cases, but this has to be agreed case-by-case with your Acadmic Advisor. Please note that not all destinations receive students who wish to complete their thesis during the exchange, or offer a Thesis Advisor. If you wish to complete your thesis or part of during your exchange, we recommend to contact your Academic Advisor and ARTS Exchange Coordinator well in advance before the ARTS application deadline.
• The content of the courses which you complete has to be new for your degree.

Study Plan

When you choose your destinations, you must check that all the destinations which you have chosen offer you enough studies during the semester which you apply for.and in which language the host institution's studies are.

When you have found out what courses the destinations which you have chosen offer, you must write a study plan to all destinations which you have chosen.

• The study plan must be made on the ARTS Student Exchange Study Plan form. Other study plans are not accepted.
  • In addition to this, the exchange must be included in your personal study plan in Sisu. If you are an BA level student applying for MA level exchange, completing your MA level study plan in Sisu is ot necessarily possible yet, so in this case you hvae to update the Sisu  study plan as soon it is possible.
• The study plan must include the names of all courses, code codes, and number of credits (in ECTS, when possible), if available.
• The plan must include the required number of credits (see above).
• Indicate clearly in your study plan where (major, minor, free choice studies) you plan to include your exchange courses.
• Write the study plan in English (excluding host institution's courses which are indicated in the native language).
• The study plan must be approved and signed by your Academic Advisor. Otherwise your application will not be processed.
   
  • If you are currently studying on bachelor level, but are applying for master level exchange, your study plan has to be approved by your master level programme's Academic Advisor.
  • Note that you cannot use previous application rounds' study plan, unless instructed otherwise by ARTS Exchange Coordinator. The plan has to be up-to-date.
  • Include the exchange also to your Sisu personal study plan before you deliver the ARTS Student Exchange Study Plan to your Academic Advisor.
  • You can check your Academic Advisor's name from Sisu (or your Study Coordinator).

The study plan is not final. The plan can be modified if necessary after your acceptance to the host university. All changes have to be approved by your Academic Advisor immediatly.

Note that ARTS exchange agreements are normally made for specific study fields, for example with certain faculty, department or programme/major, which defines what courses you can select from the host institution. This might restrict the number of courses which are availabe for you at the host institution. Also note that not all destinations offer a degree programme which is exactly the same as your programme/major at ARTS. Instead, they can offer for example a general programme in Design, or different types of programmes related to your major.

Schools of Technology (CHEM, ELEC, ENG, SCI)

Criteria for the exchange studies:

• Your can transfer studies both master and undergraduate level degree, if there's room. Especially on master level the exchange requires carefull planning, so that all courses completed during the exchange can be transferred into your degree.
• Your can study courses for your minor, elective, or major studies. Often it's easier to find suitable courses for the minor or free choice studies. On of the easiest options is to create an International Minor. For more information please contact your own degree programme's planning officer.
• Courses which content is new for your degree.
• Exchange agreements are often made for specific study fields, for example with certain faculty, department or programme, which defines what courses you can select from the host institution. This might restrcit the number of courses which are availabe for you at the host institution. Also the level of the studies (UG/G) restricts the course availability.
• Completing your final thesis abroad can also be possible. In this case, contact your Aalto school's exchange coordinator well in advance before the application deadline.

Practical instructions:

• Remember that you must make the study plan to each destination which you have chosen (1-3).
• Use the general exchange study plan when applying to destaintions outside Europe, and Learning Agreement to Erasmus destinations. (Note: in table A list the courses to be completed at the host institution and in table B where these courses are placed in your Aalto degree.
• Write the study plan in English or in the destinations native language.
• The study plan must include at least  30 ECTS (UG) / 24 ECTS (master) per exchange semester. These credits have to be included in your degree at Aalto.
• Indicate clearly in your study plan where (major, minor, free choice studies) you plan to include your exchange courses.
• Update your personal study plan. If needed, as for more instructions from your own degree programme's/major's planning officer.
• Ask your degree programme's/major's planning officer to sign the exchange study plan. In some cases, the planning officer can ask also your professor to sign the plan. Accepted study plan confirms that the exchange studies can be included in your degree.
• Check destination specific requirements from the Destination Database. Remember to check, in which language the host institution's studies are (English course name does not necessarily mean that the course will be held in English)!
• The study plan has to be included in your Aalto online exchange application.
• If your study plan changes during the exchange, you have to get an approval for the changes from your own degree programme/major at Aalto.

Application form

To apply for student exchange you have to fill in and submit the Aalto BIZ Outgoing Student Exchange Application which is open in the BIZ Study Abroad Portal during the application rounds. Fill in only 1 application. You can apply to 1-10 destinations with one application form. Check the list of available exchange places for the AY 2023-24. From above, read the instructions for filling the online application carefully. Read also the exchange info slides

• Students in the Mikkeli Campus apply separately, see information under your degree programme. 

Appendices

Upload the following attachments to the online application. Without them the application cannot be submitted. Scan the attachments in PDF (other file formats are not accepted). The max. size for all attachments in total is 10 MB. Remember to also add the International Minor as your minor to your Personal Study Plan (PSP).

1. Motivation letter. Students applying for Bachelor and Master exchange must write a motivation letter and briefly cover the following questions in English (altogether 400–500 words, approx. one A4 sheet):   1) Why do you want to study abroad ? 2) What kind of skills and knowledge do you expect to learn during the exchange semester and how will these skills support your future career? 3) Student exchange agreements are based on reciprocity: in order to send Aalto BIZ students abroad we need to receive incoming exchange students from the same universities. How would you promote Finland, Aalto University and particularly the School of Business to your fellow students while on exchange?

2. Curriculum Vitae. CV can be either in Finnish or in English. CVs are only for office use and we will not forward them to the exchange universities.

3. PSP (Personal Study Plan / HOPS) including International Minor (not needed if you are a first year bachelor student or IDBM student). Instructions: Go to your study plan > Print > Destination > Save as pdf.

In addition to these, the following documents are attached to the application only if necessary:

1. Additional documents to be submitted by BSc students applying for MSc exchange include a scheduled BSc study plan and graduation date.

2. Relevant language certificates. 

3. Please check the possible destination specific requirements such as other required certificates. 

4. If you have had a long term medical condition which has had a negative impact on the progress of your studies while you have been registered at BIZ in your current degree, please send a medical certificate as a proof by email to [email protected] (do not attach it to the application portal). 

Where you can apply to

Please note that the available destinations will be confirmed before each application period. These will be announced on this site.

You can apply to max. 10 destinations, in a binding order of preference.

• Every semester is marked as a separate alternative in the application. Please note that the online application does not rule out universities and semesters according to availability. Check the List of available exchange places 2022–2023 to see whether the required level of studies (UG = undergraduate / bachelor / KTK or G=graduate / master / KTM)  and preferred semester are available at the university in question.
• Remember to check the semester dates of your destinations and plan your studies in Aalto University accordingly.

If you are not selected to any of the options stated in the application form you can be offered a place in some other university if this has been marked in your application ("wild card option").

Important things to note

• Check the possible destination specific language and other requirements from the host university's website and the BIZ Destination Database.

In a nutshell

 If you are not chosen to any of the destinations which you have chosen, we can suggest you other possible open destinations.

Application form

To apply for student exchange you have to fill in and submit the Aalto ARTS Outgoing Student Exchange Application which is open in the ARTS Study Abroad Portal during the application rounds. Fill in only 1 application. You can apply to 1 - 3 destinations with one application form. Read below the instructions for filling the online application carefully. If you are applying for free mover exchange (i.e. to a destination which is not ARTS partner university), please fill in and submit the free mover application and follow instructions found on page free mover exchange.

Appendices

Upload the following attachments to the online application. Without them the application cannot be submitted. Scan the attachments in PDF (other file formats are not accepted). The max. size for all attachments in total is 10 MB.

1. ARTS Student Exchange Study Plan form to each destination you have chosen. Forms have to be signed and approved by your degree programme's academic advisor (or Study Coordinator, in some programmes). Personal study plan (HOPS) or other types of attachments are NOT accepted instead of learning agreement.
2. Official transcript of records. You can print the transcript from Sisu.
3. Language certificate(s), if you are applying to destinations which require a language certification. Check from the destination's website and ARTS Destination Database if a language certificate is required and what type of certificate is required. Before submitting your application, check in which cases a language certificate is needed, and information on different options on how to prove your language skills. If you have not attached the required language certificate to your ARTS application when necessary, your application to the destination in question will not be taken into consideration.

In addition to these, the following documents are attached to the application only if necessary:

1. If you have had a long term medical condition which has had a negative impact on the progress of your studies while you have been registered at ARTS in your current degree, please note that a medical certificate might be requested later.
2. If you have worked/are working in the AYY as a board member during your current degree, attach a work certificate signed by the Chair of the AYY Board which includes your role in the board, working dates and social security number/student ID number.
3. To some destinations you might be required to deliver a letter of recommendation from your degree programme's professor after the ARTS selection.

Remember to acquire all the required attachments well before the deadline. Late attachments are not accepted. Incomplete applications are not processed.

Where you can apply to

Open places will be published by the beginning of each application round. Not all destinations are open on each application round. In the spring's application round, you can apply for exchange for the following autumn or spring. In the autumn's application round, you can apply for exchange for the the following spring. 

You can apply to destinations which are marked open for your degree programme, major and study level (i.e. UG, MA, PHD) in the ARTS Destination Database for the following semester/academic year.

• If a destination or the number of open places for it is not available in the ARTS Destination Database, you cannot apply to such destination.
• In the autumn semester's application round you CANNOT apply to destinations where the number of remaining seats is 0 (i.e. there are no open places) in the ARTS destination database.

You can apply to 1-3 destinations.

• List the destination in a binding order of preference.
• All applicants are strongly recommended to apply to more than one destinations!
• We will try to place students in order of preferance, but you can be chosen to any of the destinations which you have chosen.
• Applicant will be selected only to one destination.
• To destinations where number of seats/remaining seats is specified for a certain semester (autumn/spring) there are places available ONLY for the indicated semester. For example; Remaining seats 1 (Autumn) means that there is 1 place available, but only for the autumn semester.
• In the autumn's application round, there are normally available only the destinations which were not filled in the spring term's application round, new destinations or destinations to which there were cancellations. 

If you are not chosen to any of the destinations which you have chosen, we can propose another destination for you, if you wish, if there are open places available to destinations which application deadline has not passed, if you are eligible to apply.

Important things to note

• Check from your academic advisor if you can participate in student exchange and what studies you can complete during your exchange.
• If you want to study abroad for two semester, take this into consideration in the application stage, because it's not possible to extend the exchange.

• Check the possible destination specific language and other requirements from the host university's website and the ARTS Destination Database.

In a nutshell

1. You can apply to 1–3 destinations. Remember to consider:
   • the teaching language - a language that you are comfortable with and that meets the requirements of the university
   • the field of study that will fit in your degree
   • other possible requirements of the destination
2. Make a study plan for each destination that you apply to.
3. Get an official study record transcript in English and possible required language certificates. Check if you need other appendices.
4. Fill out the ARTS online application during the application period.

1. Approved study plan(s)/Learning Agreement(s). Use the Exchange Study Plan form for destinations outside Europe and Learning Agreement for Erasmus+ destinations.
2. Transcript of records (in English, a digitally signed transcript will suffice).
3. Language certificate (if necessary).

Where you can apply to

The available destinations will be confirmed before each application period. You can apply to max. 3 destinations, in a binding order of preference. Every semester is marked as a separate alternative in the application.

If you apply to 3 destinations, you may also choose a "wild card option". If you choose a wild card option in your application, and you are not selected to any of your 3 stated options, you may be offered a place in another university. If you have less than 3 destinations on your application, a wild card destination may not be offered to you.

In a nutshell

1. You can apply to 1–3 destinations. Remember to consider:
   • the teaching language - a language that you are comfortable with and that meets the requirements of the university
   • the field of study that will fit in your degree
   • other possible requirements of the destination
2. Make a study plan for each destination that you apply to.
3. Get an official study record transcript in English and any language certificates. Check if you need other appendices.
4. Fill out the online application during the application period.

1. Open the online application form, but do not use Internet Explorer.
2. Sign in with your Aalto credentials. Open the info page at Start a new application. The application consists of several pages. The headlines of the pages can be seen on the left.
3. Please fill in the application page by page. Tick the box on Mark page as complete when you have answered all the questions on that page. You can save the application form and continue filling it later (during the application period).
4. List the exchange places you wish to apply for on the page List of exchange places, in an order of preference. +Destination allows you to add more options.
5. On the page Relevant documents to be uploaded please add the scanned, relevant application documents (signed Learning Agreement or Study plan, Official Transcript of Records, possible Language certificate) in PDF format. The maximum size of one file is 2 MB. You need to add a signed Learning Agreement or Study plan on each destination option you are applying for (excluding BIZ students!). However, one Transcript of Records and one Language certificate per language will suffice.
6. NOTE! Please do not copy text to the application form (e.g. from Word) - this can lock the application and prevent the pdf document to be uploaded.
7. Send the application by clicking Submit.
8. Do not close the browser, but wait until the programme produces a pdf copy of your application. Please save the pdf copy as a receipt of the submitted application. In case the pdf is not generated and/or you cannot save it, contact the exchange coordinator of your School. Please do not fill in another application!
9. Sign out.
10. After submitting the application you cannot make changes in it. If you have questions on your application please contact the exchange coordinator of your Aalto School.
