Submitting theses for grading as PDF/A files

Theses must be submitted in PDF/A format, as that guarantees their long-term preservation. Familiarize yourself with the PDF/A instructions, use Aalto's thesis templates and carefully check your file's compatibility with the PDF/A format before submission. An Aalto IT Service Desk can help, if needed.

Completed bachelor's and master's theses are submitted for evaluation in PDF/A format through MyStudies. The submitted thesis must be the final version, i.e. the one that is ready to be evaluated, approved and archived. It must be consistent with Aalto's thesis template, including elements such as the cover page and table of contents. The thesis file format will be automatically checked during submission; the system only accepts thesis submissions that comply with the correct PDF/A standard.

PDF/A documents are compliant with the ISO standard for Portable Document Formats. These are designed for long-term preservation and archiving.

There are usually no problems with converting a file to PDF/A format, especially if you have used an Aalto thesis template for your work. However, if your work includes many images or was created using special software (such as InDesign), it is recommended to set aside extra time for the file conversion.

How to submit your PDF/A with no problem

For support with PDF/A problems, visit one of Aalto’s IT Service Desks: https://www.aalto.fi/en/services/it-service-desk-contact-information-and-service-hours.

Students’ opportunities for language learning to expand from autumn 2026

Founded in 2025, KiePe – Network for Language Centre Pedagogy, Teaching and Research – will broaden the range of language courses available to students at universities in the Helsinki metropolitan area. The KiePe network, composed of the University of Helsinki, Aalto University, the University of the Arts Helsinki, and Hanken School of Economics, will offer their students the chance to take elective language courses at any of the network universities in the future.
Students will be able register for courses via the cross-institutional studies service (RIPA) from autumn 2026. By autumn 2028, the study paths of the network universities will be harmonised to some extent, which will make cross-institutional studies even easier.
Students wishing to take language courses outside their home university can register for language courses offered by the network universities through the cross-institutional studies service and view the course offerings on the universities’ websites. More detailed information about the course offering and registration practices will be provided in August 2026.
