Submitting the application

You need to save and submit the application in one session.

If you need to correct or check some information, go back by clicking the Previous –button at the bottom of the page.

1. Personal Information

   Full in your full name as written in your passport.
   Choose your school from the drop-down menu as well as your department. This information is used to direct the application to correct handler.
   
   Note: if you don't have a Finnish personal identity number, please inform the Doctoral education services of your doctoral programme that you are applying for the scholarship without the Finnish personal identity number.

2. Applicant information

   Supervising professor: write email of your professor, the application gives suggestions when you start to write.
   Fill in required information: enrollment, admission date, scholarship you are applying for ...
   You can check your admission date in Sisu → MyProfile

3. Bank & tax information

   Fulfill your bank information for payment. Required information depends on the bank contact and the country. If the information is false, the scholarship cannot not be paid.
   Note: The bank account number must be in IBAN -form and also the BIC-code is needed.
   Also note: the scholarship must be paid to an account that is in your name, and Aalto University has to inform the Finnish tax officials of the scholarship payments.

   Jufo rating (not required for SCI)
   Impact factor (IF) (for CHEM and ELEC)

   2000e scholarship:
   Completion date of the last study attainment
   Pre-examination starting date (date of the committee meeting where the pre-examiners where appointed)
    
5. Required attachments
   500e scholarship: Ask your supervising professor to confirm by email that the article is part of your doctoral thesis (see the School-specific definitions) and attach it to your online application.
   2000e scholarship: Transcript of records

6. Submission of the application

   If you need to correct or check some information, go back by clicking the Previous -button at the bottom of the page.
   You need to save and submit the application in one session.
   You will get notification in the browser when the application is submitted successfully and also email confirmation including ID for your application.

Application is incomplete → Additional information required

If additional information is required for your application, you will receive email. The email includes a link to access your application to update or cancel it.

Decision 

When decision is made, you will receive an automatic email titled Decision of applied grant. If you have any questions related to the decision, please contact your doctoral programme's doctoral education services.

ARTS: Scholarships can be granted forthe first two refereed (i.e. peer-reviewed) articles included in the doctoral thesis, published in an international publication forum or the first two accepted artistic components (or the first article and the first artistic component). The student must be one of the main authors in the publication or one of the main artists in the artistic component. The article must have been published in an official journal defined by the Finnish Publication Forum JUFO (publication forum level 1-3). The incentive scholarship is not limited to article theses.

CHEM: Scholarships can be granted for the first two refereed (i.e. peer-reviewed) articles included in the doctoral thesis and published in an international publication forum. The publication series must be listed with Web of Science database and have an Impact Factor (IF) in order to fulfill the scholarship criteria.

ELEC: Scholarships can be granted for the first two refereed (i.e. peer-reviewed) articles included in the doctoral thesis published in an international publication forum. The articles must be published in a forum that is available on the Web of Science Database and has an impact factor (IF).

ENG: Scholarships can be granted for the first two refereed (i.e. peer-reviewed) articles included in the doctoral thesis published in an international publication forum (please notice that arXiv doesn't have a peer-review process).

SCI: Scholarships can be granted for the first two refereed (i.e. peer-reviewed) articles included in the doctoral thesis published in an international publication forum (please notice that arXiv doesn't have a peer-review process).

After your doctoral programme has processed your application and it has been approved, the information will be transferred to the payroll system, which may take some time. The processing times vary depending on the situation - take care to follow all the instructions and submit the correct attachments.

The payment dates are the 15th and 30th of each month, and the payroll must have received the approval by their deadline, which is approximately 2 weeks before the payment date, otherwise it will be paid on the following payment date.
