Purchasing policy for computers and mobile devices for personal use for staff

The Personal computer and mobile device purchasing policy defines the roles and responsibilities when purchasing personal computers and mobile devices for staff use at Aalto University.

When purchasing personal computers or mobile devices for staff the main way of ordering them is with the Order a computer and the Order a phone and / or subscription forms.

Devices outside of the basic, preselected set of computer or mobile device models can be purchased only when there is a justified reason for the order. In this case, the user's cost center is responsible for the costs of the device. The order needs to be preapproved. 

Ordering for academic activities

When ordering for academic activities, special devices can be purchased if there is a justified reason related to the use of the devices. 

The unit will be responsible for the costs and the purchase needs to be approved beforehand by the relevant cost center manager (or their superior in case of the employee being the cost center manager).

Order the special device through Aalto IT Services. 

Ordering for non-academic activities

When ordering for non-academic activities, for example, joint services an exception to the standard device can only be made if the user’s tasks require specific tools. 

The unit will be responsible for the costs and the purchase needs to be approved beforehand by the relevant President’s Management Team (PMT) member.
