Open access agreements with publishers

• Agreement period: 1.7.2022 - 31.12.2024.

• To be eligible, you should be Aalto affiliated corresponding author, and your article has been accepted for publication in one of these ACM titles during 1.7.2022–31.12.2024.

Guidelines for corresponding authors:

1. When you submit your manuscript, use your Aalto email address.
2. Once your paper has been accepted for publication (and you have you used your organisational email address), you will receive an email from ACM containing instructions to Open Access publishing.
3. To make your article eligible for the agreement choose:
   1. Institutionally Paid Open Access, and
   2. CC license / Allow remixing (CC BY 4.0 license)
4. Please note that you can utilize the agreement only if you are the corresponding author of the article and you choose CC BY license for your article.

Open Access Publishing in ACM

• Agreement period: 1.1.2021 - 31.12.2023. Agreement between ACS and FinELib not renewed. Read more about access to journals and open access publishing.
• Negotiations for new agreement ongoing.

• Agreement period: 1.1.2024 - 31.12.2025. 
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
  • Your Aalto affiliation should be valid at the time of the article acceptance.
• The agreement covers publishing peer-reviewed open access articles without article processing charge (APC) in Elsevier hybrid journals and with 15% discount in Elsevier full open access journals. Eligible journals are listed on FinELib page. If a journal flips from hybrid to full open access during the agreement period, there's no APC charge.
• There is a limited amount of free open access articles for the agreement period.

Guidelines for corresponding authors:

1. When your article is accepted, you will receive an e-mail from Elsevier asking you to fill in the Rights and Access form. It is most important to select Aalto University as your organisation.

Open Access Publishing in Elsevier journals

  • Your Aalto affiliation should be valid at the time of the article acceptance.
• The agreement covers publishing open access articles without article processing charge (APC) in Cell Press hybrid journals listed on an eligible journals list.

• There is a limited number of free open access articles available during the agreement period.

Guidelines for corresponding authors:

1. When your article is accepted, you will receive an e-mail from Elsevier asking you to fill in the Rights and Access form. It is most important to select Aalto University as your organisation.
   1. Affiliation details will be used to identify the authors and match them with the open access agreement.
2. Your affiliation with Aalto University is verified and you will receive an email confirmation after this.

Open Access Publishing in Cell Press journals

• Agreement period 1.1. - 31.12.2024. 
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
  • Your Aalto affiliation should be valid at the time of the article acceptance.
• The agreement covers publishing open access articles without article processing charge (APC) in Emerald Premier journals and two full open access journals. Please see the journals list here.
• There is a limited amount of free open access articles for the agreement period.

Guidelines for corresponding authors:

1. Use your Aalto email when submitting the article, because Emerald will recognize author's eligibility for the free voucher from the institutional email domain.
2. Emerald requires you to choose CC-BY licence.

Open access publishing in Emerald journals

• Agreement period: 1.4.2022 - 31.12.2024.
• The agreement covers peer reviewed articles (Frontiers categories A, B and C) in Frontiers journals, which are Plan S compliant open access journals.
• The agreement gives 10 % discount on APC fee for Aalto affiliated corresponding authors, if the APC fee is covered by the department or project.
• Please note: The discount does not apply to APCs paid individually by authors.

Guidelines for corresponding authors:

To be eligible for the 10 % discount on APC:

1. You should be Aalto affiliated corresponding author.
2. Your article should be submitted or accepted for publication during the agreement period.
3. Your department or project should pay the APC.

Frontiers will identify your eligibility:

1. Based on your invoice selection (Choose Payer → Click "Frontiers institutional members" → Start typing the name of your organization and select the correct one from the list.)
2. Based on your affiliation details (corresponding author's first affiliation).
3. Based on your email domain (official domain of your institution).
4. We’ll ask you to confirm that your department or project will pay the APC, and then we’ll approve the request for discount. If we don’t get the confirmation, Frontiers will invoice the corresponding author and no discount will be applied.

Open Access Publishing in Frontiers journals  

• Agreement period 2024-2025, agreement period ends 31.12.2025. 
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
  • Your Aalto affiliation should be valid at the time of the article acceptance.
• The agreement covers open access publishing of peer-reviewed articles without article processing charge (APC) in IEEE journals (both hybrid and full open access journals). However, the author may be responsible for color, page or reprint charges.

• There is a limited amount of free open access articles for the agreement period.

Guidelines for corresponding authors:

1. Please remember to use your Aalto University email address when submitting a manuscript and update Aalto email in IEEE system. Select your institution name (Ringgold-name).
2. If your article has been accepted for publication:
   1. You will receive an email with a link to IEEE’s system.
   2. You will be asked to upload the final files and to choose between traditional and open access publishing -> choose open access.
   3. Choose an open access publishing license. We recommend that you choose CC BY which is required by many funders.
   4. Your affiliation with Aalto University is verified and you will receive an email confirmation after this.
3. Following titles have a different workflow:
   • IEEE Electrical Insulation Magazine
   • IEEE/CAA Journal of Automatica Sinica
   • IEEE/OSA Journal of Optical Communications and Networking

For the titles indicated above the process is as follows:

• A corresponding author whose article has been accepted for publication in a “Not in RLSC” title must contact the National Library ([email protected]) in order to enable open access publishing.

Open access publishing in IEEE journals

• Agreement period: 1.1.2022 - 31.12.2024.
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
• The agreement covers publishing open access articles without article processing charge (APC) in IOP Publishing journals listed on eligible journals list A, B and C.
  • Please note: IOP gold open access journals (journals in "List D") are not covered by the agreement.
• There is an unlimited number of free open access articles available during the agreement period.

• Eligible article types are research paper, special issue, letter and review article types.

Guidelines for corresponding authors:

1. Eligibility to publish open access within the agreement is identified based on the affiliation chosen by the corresponding author, so please remember to choose Aalto University as your affiliation when submitting your manuscript.
2. Affiliation of the corresponding author is verified by the publisher. Publisher will contact eligible corresponding authors and offer the possibility to publish their article open access with CC BY license. Corresponding author has five days to opt-out from this offer.

Researchers from Finland - IOPscience - Publishing Support

• Agreement period: 15.10.2023 - 14.10.2024.
• To be eligible, you should be Aalto affiliated author, and your article should be accepted for publication during the agreement period.
• The agreement gives Aalto University authors 10% discount on APCs (Article processing charges) in MDPI journals, which are Plan S compliant open access journals. 
• Aalto affiliated authors also receive a 10% discount on charges associated with open access book publishing with MDPI (i.e., book processing charges; BPCs).

Guidelines for authors:

1. Please select Aalto University for the discount on the submission form.
2. Please note that only one discount through an IOAP scheme is permitted per paper, and the discount cannot be combined with other available discounts (e.g., discount vouchers, or society membership discounts).

MDPI | Institutional Open Access Program

• Agreement period: 1.6.2022–31.12.2024.
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
  • Your Aalto affiliation should be valid at the time of the article acceptance.
• The agreement covers open access publishing without article processing charge (APC) in Nature Research hybrid journals.

• Please note: Nature full open access journals (e.g. Nature Communications) are not included in the agreement.

Guidelines for corresponding authors:

1. Once your article has been accepted, you will receive an email with a link to the Springer’s My publication system. To check the eligibility for free open access, you will be asked to add your affiliation and institution (Aalto University). After that you can choose CC license for your article.
2. Your affiliation with Aalto University is verified and you will receive an email confirmation after this.

Open access publishing in Nature Research journals

• Agreement period: 1.1.2024 - 31.12.2025
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be received for production during the agreement period. 
  • Your Aalto affiliation should be valid when the article is received into production.
• The agreement covers publishing peer-reviewed primary research articles as open access without the article processing charge (APC) in OUP hybrid journals and with 15% discount in OUP fully open access journals. Please see the eligible journals list on FinELib page.

Guidelines for corresponding authors:

1. When submitting your manuscript, make sure you indicate Aalto University as your primary affiliation.
2. When your article is accepted for publication, you will receive an email containing a link to the Online Licensing and Payment System, SciPris.
3. Click 'Select a License' to start.
4. Please find detailed instructions (with screenshots) on FinELib page Open Access Publishing in OUP's journals.
5. In fully open access journals, the 15% discount is applied automatically based on affiliation. You will see the discounted rate when you login to select a license and proceed to arranging payment. 

Open Access Publishing in Oxford University Press journals

• Agreement period: 1.1.2024 - 31.12.2025. 
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
• The agreement allows Aalto affiliated corresponding to publish their articles open access:

1. without article processing charge (APC) in RSC hybrid journals until 31.12.2025

2. without article processing charge (APC) RSC gold open access journals until 31.12.2024.

Guidelines for corresponding authors:

1. RSC identifies eligible authors based on their email address. When submitting your article to RSC, please use Aalto email.
2. Once your article has been accepted, you will receive an email with a link to the RSC’s licensing system. 
3. Choose Gold Open Access Publication. Make sure that the system has identified you correctly, ie. FREE - No payment required.  You are identified based on your email address.

4. Choose CC BY license and agree to the license terms.

Open access publishing in Royal Society of Chemistry journals

• Agreement period: 1.1.2023 - 31.12.2024
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
• The agreement allows Aalto affiliated corresponding to publish their articles open access:

1. without article processing charge (APC) in SAGE hybrid journals, or
2. with 20% discount of the journal’s APC in SAGE gold open access journals. 

Guidelines for corresponding authors:

1. SAGE identifies your right to publish Open Access free of charge or with 20 % discount primarily based on the institutional affiliation you choose from the drop down menu in ScholarOne system when you submit your manuscript.
2. If you don't choose your institutional affiliation from the drop down menu but instead write it yourself, SAGE uses your email address to identify your eligibility.
3. When your article is received at SAGE, SAGE will send you and any other authors of the article an e-mail where SAGE informs you of your right to publish Open Access at no cost or with a discount.
4. The e-mail contains a link to SAGE's Open Access Portal. Any author of the article can follow the link to proceed to the next step (Note! This has to be done within 14 days if you publish in hybrid journal!)
5. Your affiliation with Aalto University is verified and you will receive an email confirmation after this.

Open access publishing in SAGE journals

• To be eligible, you should be Aalto affiliated author, and your article should be accepted for publication during the agreement period.
• Aalto affiliated authors are entitled to publish their articles with a 15 % discount in Science Advances, which is a Plan S compliant open access journal. 

Guidelines for authors:

1. You are the paying author (usually the corresponding author) or the person acting on the author’s behalf using the online payment system.
2. After your article is accepted, you will receive an email notifying you that your APC payment is due. This email will contain a link to the Author Charge page on RightsLink.
3. Choose licence CC BY4.0 and click “Apply Discounts”.

Open access publishing in Science Advances journal

• SCOAP3 is a partnership of over three thousand libraries, key funding agencies and research centers. Aalto University is one of the partners.
• SCOAP3 has converted key journals in the field of High-Energy Physics to Open Access at no cost for authors.

• The open access articles in the field of High-Energy Physics are published at no cost for authors.

Guidelines for authors:

1. Always check the journal-specific guidelines so that the article can be published as part of the SCOAP3 agreement.

List of SCOAP3 journals

• Agreement period: 1.1.2024–31.12.2025. 
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
  • Your Aalto affiliation should be valid at the time of article submission or article acceptance or when the article enters the My Publication system for verification.
• The agreement covers open access publishing without article processing charge (APC) in Springer Compact hybrid journals.

  • Please note: Springer Nature full open access journals (e.g. Nature Communications) are not included in the agreement.

Guidelines for corresponding authors:

1. Once your article has been accepted, you will receive an email with a link to the Springer’s My publication system. To check the eligibility for free open access, you will be asked to add your affiliation and institution (Aalto University). 
2. After that you can choose CC license for your article. CC BY is recommended by Aalto University and currently required by most funders. 
3.  If you order color figures, offprints or posters, please note that you will personally be charged for them, agreement covers only the article processing charge (APC fee).
4. Your affiliation with Aalto University is verified and you will receive an email confirmation after this.

Open access publishing in Springer Nature journals

• Agreement period: 1.1.2023 - 31.12.2024
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
  • Your Aalto affiliation should be valid at the time of the article acceptance.
• The agreement covers open access publishing without article processing charge (APC) in most Taylor & Francis hybrid journals in Social Sciences & Humanities and Science & Technology, and the gold open access journal Annals of Medicine. Premium hybrid journals excluded, please see the eligible journal list on FinELib page. (If an eligible hybrid journal transforms into gold open access, it remains eligible.)

• Please note, there is an annual quota for free open access articles.

Guidelines for corresponding authors:

1. When submitting the manuscript in T&F system, always choose Aalto University from the drop down menu and use your organizational email address to make your organization known to T&F.
2. Once your article has been accepted, Open Science and ACRIS team is informed and will validate your affiliation. After that you will receive an email informing you can publish open access free of charge.
3. Taylor & Francis recommends you sign your publishing agreement only after you get the confirmation you can publish open access free of charge. 
4. When filling in the Author Publishing Agreement, please choose Aalto-yliopisto from the drop down menu.

Open access publishing in Taylor & Francis journals

• Agreement period: 1.1.2023 - 31.12.2024.
• To be eligible, you should be Aalto affiliated corresponding author, and your article should be accepted for publication during the agreement period.
• If you publish your article in a hybrid journal, your Aalto affiliation should be valid at the time of the article acceptance.
• The agreement covers publishing peer-reviewed open access articles without article processing charge (APC) in Wiley journals (both hybrid and full open access journals).

• Please note, there is an annual quota for free open access articles.

1. When submitting a manuscript to open access journal, a payment question will be presented in the beginning. Choose 'my institution or funder has an agreement with Wiley'.
2. Find and copy an open access code as instructed. 
3. Your affiliation to Aalto University is verified at the submission stage and you will receive an email confirmation after this.
4. Sign a license agreement.

• Guidelines for hybrid journals

1. Once you get the acceptance letter from Wiley, you are invited to Wiley Author Services. The author workflow starts by clicking the 'Manage Article' button.
2. Make the open access publication selection (click 'Select open access at no additional charge').
3. Confirm authors roles, add funder & grant details, and confirm affiliations.
4. Select copyright ownership (most often 'contributor-owned work')
5. Confirm open access option (click 'yes, make my article open access')
6. Select license. Aalto University and most funders recommend or require CC-BY.
7. Your affiliation to Aalto University is verified and you will receive an email confirmation after this.
