Email & calendar
All those with an Aalto ID are entitled to use email and calendar. You can use Aalto cloud email and calendar also with webmail.
Email encryption (Outlook and Webmail)
These instructions describe how to encrypt e-mail with Microsoft Purview Message Encryption. The instructions work on both Outlook and Webmail (outlook.office.com).Microsoft Purview Message Encryption is available for all Aalto email users.
Note! The subject of the email is not protected, so do not mention anything confidential in it.
According to the basic guideline for information classification, email must be encrypted using Microsoft Purview Message Encryption in the following situation:
- Internal or confidential information is being sent from an Aalto email to an external email address outside the university.
- When sending secret information, the Deltagon service should be used, or the secret data should be placed in an encrypted attachment, and the encryption key for the file should be delivered via a separate channel.
- Encrypt (normal)
The message is encrypted. Recipients can read or forward this message or print or copy content from this message but cannot remove protection. The conversation owner has full permission for their message and all replies.
- Do Not Forward
The message is encrypted. Recipients can read the message, but cannot forward, print, or copy content. The conversation owner has full permission for their message and all replies.
In Windows Outlook:
- Click New Email.
- In the Options tab, select Encrypt and the level of encryption (Encrypt-Only or Do Not Forward). See picture here
- You can now write and send your message regularly.
In MAC Outlook:
- Click New Email.
- In the Draft tab, select Encrypt and the level of encryption (Encrypt-Only or Do Not Forward).
- You can now write and send your message regularly.
1. Login to Webmail at outlook.office.com with your Aalto email address and password.
2. Click New email.
3. Click Options and then the lock symbol on the toolbar (see picture here). Select Encrypt or Do Not Forward. Levels of encryption are described earlier on this page.
4. Once you have selected the level of encryption, you will see a closed lock symbol and 'Encrypt: This message is encrypted. Recipients can't remove encryption' text on the message window.You can remove the encryption by selecting Remove encryption.
5. You can now write and send your message regularly.
If the message is sent between two Office 365 accounts (within the same or between two different organisations), the message can be read directly in Outlook or Webmail (outlook.office.com). You can see that a message has been encrypted if it contains a lock icon.
