How to apply for more storage space to OneDrive

Aalto personnel who started after or on 1 September 2025 may request additional cloud storage quota to their Microsoft OneDrive after removing unnecessary data.

Quota requests can be submitted via the Aalto IdM portal. The service is currently limited to Aalto personnel and available only for Microsoft OneDrive. 

As of 1 September 2025, the personal cloud storage quota for new members of the Aalto community was limited due to expanding costs.

Requesting more quota to Microsoft OneDrive 
 

Prerequisites 

  • Applies to Aalto personnel who started on or after 01 September 2025. 
  • Default quota for new personnel: 100 GB. 
  • Quota options: 
    • 200 GB (S) 
    • 300 GB (M) 
    • 600 GB (L, requires supervisor approval) 
    • 1 TB (XL, requires approval from supervisor and IT Services administrator)
       

Preparation steps

  1. Check your current OneDrive usage from: Home - OneDrive (Find storage use from lower left corner or behind the gear icon). 
  2. Clean up unnecessary data. 
  3. Transfer relevant data to group data storage (ask your supervisor). 
  4. Evaluate how much you will cumulate data to OneDrive. 

 
Steps for quota request

  1. Sign in to the Aalto IdM portal at https://idm.aalto.fi/ using your Aalto credentials. Signing in requires Multifactor Authentication (MFA).

  2. Select “Start a new request” and after that “Cloud quota
  3. Select a suitable quota (S, M, L, or XL): Select the one that suits your work. Be reasonable as this causes expenses for university. You can later apply for more, if needed.  
  4. Click “Add to cart” and provide reason for your request  
    Note: cloud storage is dedicated to temporary collaboration. 
  5. You can skip the “Priority” of the request and “valid time” as these are not needed. 
  6. Save your request and when ready click “Submit”.  
  7. Read Cloud Storage Conditions, click "I have read and understood the terms of use" and “Approve” 
    You will receive email "Approval granted" confirmation from its-accounts@aalto.fi when the request has been approved.

After successful submission, the quota will be updated in a few days by Microsoft. 
 

Note: If you need to apply for more quota later, remember to unsubscribe from the earlier quota package before submitting a new application. 

Remember: All data that you store in a personal data storage will be deleted after your Aalto account is deactivated. Consider well beforehand what data is important for others. Transferring large data afterwards can be risky.
