What’s Expected from You as a Grantee?

BEFORE RECEIVING THE GRANT 


STEP 1: Check the instructions on tax policies  

Read the information of the taxation of the grant from the Tax Administration's website or from our FAQ to make sure everything is clear.  
 

STEP 2: Fill in your payment information  

Included in the acceptance letter, or soon after the positive decision, you will receive an email asking you to fill in your personal banking details for receiving the grant. You can expect to receive the money either on the 15th or the last day of the month depending on Aalto's payment policies.  

Please kindly note, however, that payment processing depends on several different deadlines, which is why the payment may sometimes take longer than we would hope. 

 

DURING YOUR ACTION  


STEP 3: Documenting your action and managing your Drive folder 

We will create and share a folder for you to utilize throughout your action. It will serve two purposes – you can utilize it to manage your action, and we're able to track the process of your project!  

A) Receipts and tracking the project expenses  

Track your spending using the Booster budget spreadsheet in your folder, by filling in the actual amounts and linking the corresponding receipts. 

Please also add all the receipts to the shared folder in electronic form (scans or pictures of the receipt) as they can be asked by the grant provider (us, the Aalto Sustainability Action Booster) or the Tax Administration.  

B) Visual materials  

We’re excited to see your action come to life and share your journey on our channels! Please share videos, photos, and other materials to document your journey. We expect at least five high-quality photos or videos from both the planning and implementation stages.

STEP 4: Communicating your action 

Make sure to communicate your action through the appropriate channels, such as social media, Telegram, posters on the campus etc., so everyone in the Aalto community can hear about it and can get involved!  

A) Keep us in the loop 

We need to be aware of your progress to be able to share your action and get more people to know about it. For doing this, you can , e.g., contact us by email, share your action invitation to the community on our Telegram, or tagging us on Instagram / LinkedIn.   

B) Midpoint Status Check-Ups  

For marketing purposes, we will need specific materials from your action. Here’s what you are expected to share throughout your grantee journey:  

  • A team picture. 
  • An Instagram takeover, LinkedIn post, or blog post about your journey from our profiles. (To be agreed upon in more detail together)
  • Lots of pictures! 
  • Advertisement posts on our Telegram group. 
     

STEP 5: Find help and useful links when needed 

Check out our Resource Bank where we've gathered tips and resources to help you implement your action! In addition, you can always refer to the FAQ to find answers to your questions or shoot us a message! 
 

AFTER COMPLETING YOUR ACTION 


STEP 6: Final report  

At the very end of your project, you’re expected to submit a short final report that includes the realized expenses and summary of learnings or testimonials from the initiative!
