Departure from Aalto University
At the end of the exchange there are many practicalities to take care of. Below you will find information on what to do when your exchange at Aalto University is coming to an end.

The electronic Transcript of Records is a PDF document equipped with a digital signature to confirm its authenticity and integrity. The digital signature replaces handwritten signatures and stamps.
We recommend you to submit this electronic transcript to your home university. Please note that it may take some time before all your passed courses have been registered. Results should be availalbe within 1 month (excluding public holidays) after the exam.
If your home university requires a printed (signed and stamped) paper document of your Transcript of records, please contact the Learning Services of your own Aalto school to request for one. First you should check SISU to see whether all your courses have already been registered.
Please note that we will send the paper versions of transcripts only on request, so remember to send us email asking for it. Remember to mention your student number and your full postal address too.
Erasmus exchange students usually need to fill in a Letter of Confirmation (usually given to you by your home university). This document states that you have been studying at Aalto University, and will be signed by exchange coordinators. Please note that the document can only be signed one week prior to your departure date. We recommend you to check with your home institution whether they have specific rules about when the document should be signed.
If you have made any changes to your Learning Agreement, please fill out the page for changes (mark the added and deleted courses) and get the updated Learning agreement signed as well.
If there are any other documents required by your home university to be signed by us, please remember to bring them along with you.
Your IT account will expire after your exchange period at Aalto University. However, your Aalto email account and access e.g. to SISU will be valid for four months after your study right has officially ended. Study right ends on 31 Dec (autumn term) or on 31 July (spring term / academic year). Thus, you can easily order your Transcript of Records even if you have already returned back home.
Make sure that you have paid the rent for the whole period of your stay before you leave, and that your room and the common areas are clean and tidy for the next tenants. Read the requirements for cleaning and moving out from the webpages of AYY, HOAS or MOAS. If you are living in private housing make sure to contact your landlord early enough.
You should check the instructions for leaving from AYY, HOAS, MOAS or your landlord including the information where to return your keys and how to get your deposit back. For any questions regarding this matter, please contact them directly.
