Access right request and review: Short-term visitor

Instructions for short-term visitors on how to take into use an access token.

A short-term visitor is defined as a person who stays at Aalto for less than a month and does not have an Aalto ID. Also, persons arriving from outside the EU who do not yet have an Aalto ID, will be treated as short-term visitors temporarily, until they get their Aalto ID.  

This process has manual work steps, that will be automated later:

  1. The host of the short-term visitor sends an email request of the access right needs to the key responsible person. Necessary information in the email (visitors name, company, email, reason for the visit, start and end date and the access right needs).
  2. If the key responsible person grants the short-term visitor the requested access, than he will forward the information to the buildings lobby services as an email (cc host).  
  3. The host will inform the visitor on where and when the token can be picked up. The visitor must be prepared to verify their identity when picking up the token. 
  4. The short-term visitor will collect the activated token from the lobby services.
     

Access right deactivation  

The end date that is notified by the host is registered in the system and will automatically terminate the access rights. The token should be returned to the lobby services, so that the token can be reused.
